JOB TITLE: Volunteer Coordinator
REPORTS TO: Volunteer Program Manager
FLSA STATUS: Non-exempt, 20-40 hrs./wk.
PAY RANGE: $20-$24/Hour
JOB SUMMARY: Responsible for supporting and strengthening The Food Depot’s robust volunteer program, including but not limited to leading volunteer projects, implementing risk management procedures and recruitment strategies, onboarding and scheduling volunteers, and assisting with additional administrative tasks deemed necessary.
BACKGROUND: The Food Depot is the food bank of Northern New Mexico, serving as a not-for-profit clearinghouse for food donated by private and public sources to end hunger and poverty. The food bank distributes food and related products through 145 non-for-profit agencies in nine counties: Colfax, Harding, Los Alamos, Mora, Rio Arriba, Santa Fe, San Miguel, Taos, and Union. Our vision at The Food Depot is healthy, hunger-free communities in Northern New Mexico.
Leads Volunteer Projects (50%)
Supervises volunteers at on- and off-site locations, including public food distributions
Prepares volunteer workspaces by preparing equipment, organizing supplies, and cleaning surfaces, etc.
Provides clear and thorough instruction to volunteers and leads projects by example, working alongside volunteers as needed
Supports volunteers by answering questions, providing supplies, proper training, etc.
Adapts to changing logistics and problems as they arise, reaching out to leadership as needed
Communicates needs, inventory, and issues with Warehouse Operations Staff, Volunteer Engagement Staff, and/or the Leadership Team as necessary
Schedules and coordinates a large number of volunteers across multiple shifts/projects, including outside organizations and volunteer groups
Volunteer Enrollment and Data Collection (30%)
Onboards volunteers by providing prompt communications via phone and email, processing applications, and ensuring setup via volunteer database
Assists with fielding questions, screening and enrolling applicants, and signing off on court-ordered community service volunteers
Implements Volunteer Training, Appreciation, and Risk Management Procedures (20%)
Welcomes and assists in assigning volunteers to various projects at the beginning of volunteer shifts, providing excellent customer service and volunteer appreciation
Fosters a culture of safety by prioritizing risk management; supporting the implementation of volunteer training and screening measures according to current public safety and organizational guidelines; reports incidents, accidents and unsafe conditions to the Volunteer Program Manager
Assists in maintaining volunteer records and database,
Maintains positive relationships with volunteers, partners, donors and the public.
Handles food according to safe food handling practices
Assists in the maintenance and care of the facility and equipment; assists in the safety and sanitation of facilities and equipment through compliance with The Food Depot guidelines and any applicable local, state or federal laws or regulations
Contributes to building a positive team spirit; puts success of team above own interests
Complies with all The Food Depot policies, procedures and systems
Performs related duties as required or assigned; assists other departments as requested; may work evenings and weekends, as needed; is consistently at work and on time
High School Diploma or equivalent experience with nonprofits or office administration
Demonstrate a commitment to the mission and values of The Food Depot
Ability to clearly, concisely and effectively communicate orally
Have excellent customer service skills and be able to interface with many diverse populations, various age groups and people with special needs
Customer service background strongly preferred, but not required
Strong organizational skills, work ethic and attention to detail
Ability to multi-task, prioritize and meet deadlines
Proficient in Microsoft Office and Gmail calendars and be able to use general office equipment such as phone system, copier, scanner, etc.
Ability to learn and adapt to changing technologies
Willing and able to attain Food Safety for Handlers Card and pass a CYFD Background Check
Able to work an irregular schedule including early mornings and weekends
Physical Environment and Working Conditions
Employee will spend 70% of the time working in a warehouse/outdoor environment; 30% of the time in an office environment.
Must be able to maintain productivity in a shared workspace
Employee must be able to walk on variable surfaces, bend and lift up to 50 lbs.; conduct repetitive motion, and work around machinery.
In the office environment, employee must utilize paper and electronic documents, a keyboard, computer, phone, and printer to perform necessary job requirements.
When in the warehouse or working in the field, employee must utilize manual and automatic pallet jacks, scales, pallet shrink wrap and other equipment
Ability to travel in Northern New Mexico as needed (using company vehicle or personal vehicle with mileage reimbursement)
