JOB TITLE: Finance Assistant, Non-Exempt
REPORTS TO: Executive Director
SALARY RANGE: $17.00-$22.00/Hour
SUPERVISES: None
JOB SUMMARY: The position is responsible for the data entry of all information related to donors, gifts/donations, and direct-mail solicitations, including daily check and credit card deposits into Salesforce. Additionally, the Finance Assistant is responsible for all donor acknowledgment letters. The Finance Assistant works extensively with the Human Resources and Finance Coordinator, in addition to The Food Depot’s contract accountant to update donor records from monthly financial audit reports and update donor information when changes are received from the post office or directly from donors.
PRINCIPAL RESPONSIBILITIES:
Provide efficient and excellent data entry accuracy and record-keeping of gift processing and acknowledgment
Manage donations that come by telephone, credit card, and check, including the creation of letters of appreciation sent both by mail and email, while providing excellent customer service
Monitor donations that come via the online credit card payment platform iDonate to ensure accuracy of financial data, proper data integration with Salesforce, and to identify tribute gifts for processing Honor and Memorial gifts
Manage electronic saving and storage of acknowledgment letters and Loop report mailing lists that are downloaded from Salesforce into Excel
Manage donor matching requests, tribute gift acknowledgments and donations of stock including, but not limited to data entry of donations, letters of appreciation, and notifying accountant of gifts
Track all in-kind donations including but not limited to working with staff to complete forms when donations arrive, identifying the value of the gift, sending letters of appreciation and notifying the accountant of the donation
Support direct mail campaigns by providing requested data downloads to the direct mail vendor and using their mail reports to update donor information in Salesforce
Direct office volunteers on tasks such as envelope stuffing to process gift acknowledgments as needed
Finance projects as assigned
Qualifications
Two or more years in an administrative capacity with extensive data input experience
Knowledge of CRM databases, Salesforce experience highly valued
Experience in a nonprofit development and finance environment preferred
Excellent computer and database management skills, and proficiency with Microsoft Office applications
Demonstrate a commitment to the mission and values of The Food Depot
Excellent communication and interpersonal skills and the ability to be a team player
Must be detail-oriented, able to re-prioritize and handle multiple tasks in an office/warehouse environment
Must be proactive about working independently as well as collectively with other staff members and volunteers
