JOB TITLE: Office Administrator, Non-Exempt
REPORTS TO: Executive Director
SUPERVISES: None
SALARY RANGE: $20.00 – $32.00/Hour
JOB SUMMARY: Responsible for support of executive team and office administrative functions

PRINCIPAL RESPONSIBILITIES:
Provides administrative support functions for the Executive Director, Deputy Director, and Leadership Team
Provides support of Board and Committee activities including but not limited to scheduling and preparation of meetings; meeting minutes and follow up; communication to members
Manages office operations including reception, mail, supplies, printing and equipment including but not limited to ordering of supplies, printing and postage; managing equipment leases and phone system, office equipment repairs and maintenance, and development of general signage, notices, flyers and forms
Provides support of Operations and Transportation Departments including but not limited to warehouse donor receipts and reporting; maintenance of DOT, vehicle and equipment files; TEFAP, Feeding America and other mandated reporting
Offers back up support for accounting functions including but not limited to credit card processing and bank deposits
Schedules meetings and events for conference rooms; maintains records on use of facilities
Supervises office volunteers, when appropriate
Contributes to building a positive team spirit; puts success of team above own interests
Complies with all The Food Depot policies, procedures and systems
Is consistently at work and on time
Performs related duties as required or assigned; assists other departments as requested; may work evenings and weekends, as needed

Qualifications
Minimum of five years related work experience; nonprofit experience preferred
Demonstrate a commitment to the mission and values of The Food Depot
Excellent communication and interpersonal skills and the ability to be a team player; must be able to effectively communicate and interact with coworkers, managers, donors and volunteers; ability to effectively communicate problems and issues
Must have excellent customer service skills and be able to interface with many diverse internal and external customers
Must be proficient in the use of a computer and various programs. Knowledge of Microsoft Office (Word and Excel)
Commitment to accuracy and thoroughness
Must be detail-oriented, able to handle multiple tasks in an office/warehouse environment
Must be able to work independently of as well as collectively with other staff members
Must be able to use general office equipment such as computers, copiers, scanners, postage meter

Physical Environment
Employee will spend 60% of the time working at a stationary computer terminal, 20% talking on the telephone, and 20% interfacing with customers
Primary work is in an office environment
