The Food Depot is seeking a flexible individual responsible for office administrative functions. This individual should bring a wide range of skills and a desire to work toward a hunger-free Northern New Mexico.

JOB TITLE: Office Administrator Non-Exempt
REPORTS TO: Executive Director
SUPERVISES: None
SALARY RANGE: $18.50 – $27.50/Hour
JOB SUMMARY: Responsible for office administrative functions
PRINCIPAL RESPONSIBILITIES:
• Provides support functions for the Executive Director and Development Director
• Supports development activities; maintains donor database including tracking and data entry of all donations; issues monthly reports and letters of acknowledgement; prepares mailing lists and reports for the direct mail company, newsletter mailing, and Board of Directors; assists in preparation of grant proposals and reports; schedules and prepares for donor meetings and tours
• Supports special event coordination for annual fundraising events, donor cultivation events, and food drives
• Assists in accounting functions including but not limited to providing backup for accounts payable and receivable, receiving and preparing invoices, and credit card processing and bank deposits
• Provides human resources administrative functions, including but not limited to assisting in the interview process, new employee orientations, new employee handbooks and materials, and employee benefits enrollment
• Assists with the scheduling, tracking and entering of data for food drives and issues letters of appreciation to donors
• Manages office operations including reception, mail, supplies, printing and equipment
• Schedules meetings and events for conference rooms; maintains records on use of facilities
• Supervises office volunteers, when appropriate
• Contributes to building a positive team spirit; puts success of team above own interests
• Complies with all The Food Depot policies, procedures and systems
• Is consistently at work and on time
• Performs related duties as required or assigned; assists other departments as requested; may work evenings and weekends, as needed
Qualifications
• Associates Degree or higher; or three to five years related work experience
• Demonstrate a commitment to the mission and values of The Food Depot
• Excellent communication and interpersonal skills and the ability to be a team player; must be able to effectively communicate and interact with coworkers, managers, donors and volunteers; ability to effectively communicate problems and issues
• Must have excellent customer service skills and be able to interface with many diverse internal and external customers
• Must be proficient in the use of a computer and various programs. Knowledge of Microsoft Office, donor database or similar client management system experience is a must, inventory database experience a plus
• Commitment to accuracy and thoroughness
• Must be detail-oriented, able to handle multiple tasks in an office/warehouse environment
• Must be able to work independently of as well as collectively with other staff members
• Must be able to use general office equipment such as computers, copiers, scanners, postage meter

• Employee will spend 60% of the time working at a stationary computer terminal, 20% talking on the telephone, and 20% interfacing with customers.
• Primary work is in an office environment
