Position Description The Food Depot

JOB TITLE: Volunteer Coordinator

REPORTS TO: Volunteer Program Manager SUPERVISES: None

FLSA STATUS: Full-time, nonexempt, 40 hrs./wk. PAY RANGE: $16-21/Hour

JOB SUMMARY: Responsible for supporting and strengthening The Food Depot’s robust volunteer

program, including but not limited to recruitment, scheduling, tracking, training, and appreciation of

volunteers.

BACKGROUND: The Food Depot is the food bank of Northern New Mexico, serving as a not-for-profit clearinghouse for food donated by private and public sources to end hunger and poverty. The food bank distributes food and related products through 145 non-for-profit agencies in nine counties: Colfax, Harding, Los Alamos, Mora, Rio Arriba, Santa Fe, San Miguel, Taos, and Union. Our vision at The Food Depot is healthy, hunger-free communities in Northern New Mexico.

PRINCIPAL RESPONSIBILITIES:

Volunteer Enrollment, Scheduling, and Data Collection (60%)

Enrolls volunteers by updating and processing enrollment forms, uploading documents to volunteer management software (Volgistics), and coordinating volunteer screening and background check processes

Utilizes volunteer management software (Volgistics) and/or Microsoft Excel to assist with data collection, including entering volunteer information, logging volunteer hours, and preparing reports

Supports volunteers in using volunteer management software (Volgistics) by training volunteers, monitoring use, and problem solving issues

Schedules and coordinates large number of volunteers across multiple shifts/duties for large events, projects, and initiatives including but not limited to: Souper Bowl, Canstruction, Kids Kitchen, Food 4 Kids and warehouse projects

Assists with scheduling, touring and supporting recurring and one-time volunteer groups

Fields requests of, screens and enrolls court-ordered community service volunteers

Volunteer Relations (30%)

Facilitates an excellent volunteer experience for all by providing customer service, celebrating the work of volunteers, and maintaining prompt and thorough communications with volunteers

Communicates regularly with volunteers in person and through phone calls, e-mails, and letters

Assists with the planning and implementation of volunteer recruitment and appreciation activities

Training and Risk Management (10%)

Fosters a culture of safety by prioritizing safety; supporting the implementation of volunteer training and screening measures; and reporting incidents, accidents and unsafe conditions to the Volunteer Program Manager

Schedules and assists Volunteer Program Manager in conducting in-person and online volunteer trainings including orientations, tours and food safety trainings

Supports the Volunteer Program Manager in creating content for volunteer training and marketing materials

Other

Supports volunteers working on projects on- and off-site including filling in with program or project needs if gaps in the volunteer schedule exist

Maintains positive customer relationships with volunteers, partner agencies, donors and visitors

Helps coordinate “all hands on deck” special events such as the Souper Bowl and Canstruction

Contributes to building a positive team spirit; puts success of team above own interests

Complies with all The Food Depot policies, procedures and systems

Is consistently at work and on-time

Performs related duties as required or assigned; assists other departments as requested; may work evenings and weekends, as needed

Qualifications

Associates Degree or equivalent experience with nonprofits or office administration

Demonstrate a commitment to the mission and values of The Food Depot

Ability to clearly, concisely and effectively communicate orally and in writing

Have excellent customer service skills and be able to interface with many diverse populations, various age groups and people with special needs

Strong organizational skills, work ethic and attention to detail

Ability to multi-task, prioritize and meet deadlines

Proficient in Microsoft Office and Gmail calendars and be able to use general office equipment such as phone system, copier, scanner, projector, etc.

Experience with volunteer management software (like Volgistics) and mass email systems (like Mailchimp) a plus

Willing and able to attain Food Safety for Handlers Card

Willing and able to pass a CYFD Background Check

Able to work some nights and weekends

Physical Environment and Working Conditions

Primary workspace is an office environment; employee must utilize paper, files, documents, a keyboard, computer, phone, and printer to perform necessary job requirements.

Secondary workspaces may include variable indoor and outdoor environments including a warehouse; employees must be able to walk on variable surfaces; bend and lift up to 40 lbs.; conduct repetitive motion; work around machinery

Employee will spend 75% of the time working at a stationary computer station; 20% interfacing

with volunteers, staff and the public; and 5% talking on the telephone

Must be able to maintain productivity in a shared workspace

Ability to travel in Northern New Mexico as needed (using company vehicle or personal vehicle with mileage reimbursement)
